An exciting opportunity has arisen for an enthusiastic and highly motivated individual to provide a wide variety of administrative support to the Urgent & Emergency Care Centre at Rotherham Hospital.

The successful applicant will be very well organised and able to prioritise their busy workload in an ever changing and innovative environment. They will provide administrative support to all personnel within the UECC including The Triumphant, Consultants and Nursing Team. In addition, the successful applicant will be confident, reliable, and will be flexible in their approach to the hours required to work. The Administration Team within UECC provide core cover from Monday to Friday between the hours of 08.00am and 18.00pm.

You will have excellent verbal and written communication skills and the ability to work using your own initiative. Being competent in the use of information technology is required for this post and you be able to use a variety of software including Microsoft Word and Excel.

Main duties of the job

Main Duties

  • Provide comprehensive administrative support to the team as appropriate
  • Support the MDT to ensure contemporaneous record keeping is maintained between the Triumphant, Personal Assistant, Operations and Performance Manager and Administrative Assistant
  • Be responsible for liaising with divisional representatives
  • Minute taking, typing and distribution of any relevant meetings
  • Chase attendees of meetings for actions/outcomes where necessary
  • Liaise between other agencies, doctors, nurses and practice team using a variety of communication methods
  • Medical audio typing
  • Distribute post throughout UECC to relevant personnel
  • Update and maintain medical information relevant to the job role.
  • Produce and process clinical/medical correspondence in line with UECC procedures and SOPs
  • Provide any further administrative support duties relevant to the job role.
  • Update and maintain medical information relevant to the job role.
  • Provide resilience for the Personal Assistant when required
  • Create, maintain and update communication tools within the department including display boards and social media
  • Provide Loggist support when required following the rota

Qualifications

Essential

  • 3 GCSEs at grade C or above including Maths and English

Desirable

  • Typing and/or Word Processing qualification

Experience

  • Experience of successfully working in and delivering priorities in a partnership environment.
  • Experience of calendar management.

Knowledge

Essential

  • Computer literate with Microsoft applications
  • Awareness of the Data Protection Act and understanding of the need to maintain confidentiality
