WELSH SPEAKING ESSENTIAL

An opportunity has arisen for 1 x full Time (37.5 hrs per week) Screening Pathway Administrators to join the Administration/Telephone Helpline team based at our centre in Upper Boat.

The successful candidate will be required to work as part of the helpline team responsible for ensuring the successful delivery of the Diabetic Eye Screening Programme in Wales. They will be responsible for providing essential administrative support to ensure the efficient operation of the call/recall and failsafe functions of both programmes.

This is a busy and varied role, which requires the ability to deal with a wide range of stakeholders, tasks and deadlines. There is a requirement to organise, prioritise and plan your workload in order to achieve your objectives. Team working is essential for this role along with excellent telephone skills and a high level of accuracy when entering participant pathway information and data.

Main duties of the job

Working with the Screening Pathway Co-ordinator, undertake validation of lists and reports to support the introduction of a robust failsafe system for the screening pathway processes

  • Reviewing and investigating patient demographic and patient management records
  • Updating patient management records in line with agreed standard operating policies and procedures
  • Processing key failsafe checks
  • Liaising with a variety of DESW staff, GPs and other health professionals to update management pathways appropriately
  • Setting up clinics and appointing patients to clinics
  • Processing invitations for screening
  • Dealing with appointment changes and general queries over the telephone from patients, members of the public and other health professionals
  • Preparing clinic paperwork for screening clinics
  • Issuing result information to patients, GPs and other health professionals
  • Processing and updating failsafe reports
  • Processing undelivered returned mail and dealing with changes to demographic details
  • Auto mailing and franking of mail
  • Filing

Person Specification

Qualifications, Knowledge and Skills

Essential

  • Minimum 5 GCSEs - Administration work experience - NVQ level 3 in Business Administration or Customer Care or willingness to work towards one
  • Previous administrative experience/Telephone Call Handling/Customer Care experience
  • Good level of interpersonal and communication skills; Ability to prioritise work and use own initiative; Ability to work under pressure and to meet deadlines
  • Good level of knowledge across a broad range of administrative functions; Good level of knowledge across a range of IT and Windows applications
  • Ability to work well under pressure and maintain concentration whilst dealing with constant interruption

Desirable

  • European Computer Driving Licence qualification; Welsh Language Skills
  • Experience of working in a health service environment
  • Knowledge of Screening Programmes

Other

Essential

  • Willingness to travel to other screening locations if required by the service
  • The ability to speak Welsh is essential for this post
