Job summary

PART TIME RECEPTIONIST/CLERICAL OFFICER 16hrs per week Mondays & Tuesdays 8.30 - 5pm.

Based at Shirley Clinic, 135 Shirley Road, Croydon.

We are looking for a reliable, confident, friendly part time receptionist/clerical officer to cover reception and switchboard services working at Shirley Clinic. The opening hours for all community bases are 8.30am to 5.00pm Monday to Friday.

We require a part time Receptionist/Clerical Officer for 16 hours per week as follows:Shirley Clinic - All day Mondays & Tuesdays - 8.30 - 5pm.

The post holder will be required to contribute to the smooth running of the base by providing clerical support to the Service Administrator and clinical services within the building.

The post is part of a broader clerical team; therefore, the successful candidate will be required to work at other Croydon clinics to cover staff absences. Flexibility and a helpful can do attitude are therefore essential.

Main duties of the job

The reception/clerical team is the first point of contact for patients and members of the public, contractors and staff. Applicants must be able to demonstrate a high standard of customer care combined with the ability to work calmly in a sometimes stressful and busy environment. Experience in dealing with members of the public is required.

It is essential that applicants have good written and verbal communication skills as well as excellent organisation and time management skills. The ability to prioritise work and respond to enquiries in a professional manner is vital. Applicants should be able to work unsupervised, using their own initiative.

Applicants must be computer literate and a working knowledge of Emis and Cerner databases will be an advantage, however training can be provided if necessary.

Job description
Job responsibilities

Provide an efficient front line reception and telephone service working alone and as part of a team ensuring relief cover for one another as and when necessary.

Recording and relaying accurate messages dealing with enquiries.

Completing patient check ins on Cerner and Emis and making future appointments.

Providing general administrative support for the building manager/Service Administrator and clinical services within the building..

Ordering and receipting of stationery, medical supplies and domestic supplies Check stock levels re-ordering as necessary to ensure levels maintained.

Required to move and handle stock, unpack deliveries and put away supplies.

Collection, collation and data entry of patient related data from clinical professional staff into the EMIS patient system.

Completing and recording daily building checks

To ensure that all visitors sign in and are assisted.

To act as a Fire coordinator in the event of a fire/alarm and co-ordinate a full building evacuation following Trust Procedures.

To be able to follow and act on Emergency Trust procedures supported by the Service Administrator.

To test the fire alarms, panic and lift alarms on a weekly basis.

To report building issues to facilities help desk and monitor progress of repairs etc.

To have responsibility for Health, Safety and Welfare of self and others in the working Environment.

To follow safe working practice and to comply at all times with the Trusts Health and Safety Policies and Procedures.

To be able to lock, unlock and alarm premises.

To ensure confidentiality on all matters relating to patients and information obtained during the course of employment.
