Job summary

An exciting opportunity has arisen for a part-time Band 4 Senior Administrator to join the Merton Children's Administration Team, working 22.5 hours per week, Wednesday to Friday, based in Morden.

The postholder will join the Single Point of Access (SPA) team, supporting children's clinical services by managing the daily flow of referrals and ensuring they are processed, prioritised and directed to the appropriate teams safely and efficiently.

The role includes registering referrals, booking clinic appointments, maintaining waiting lists and communicating with patients, parents, carers and healthcare professionals. You will also support the identification and escalation of urgent referrals and ensure non-urgent referrals progress smoothly through the service.

The SPA supports several children's services, including Health Visiting, School Nursing, Looked After Children and Integrated Complex Needs Teams. We are therefore looking for an organised, proactive administrator with excellent communication skills and strong attention to detail.

The department operates Monday to Friday, 09:00-17:00, with this post providing dedicated support Wednesday to Friday.

Main duties of the job

  • To maintaina detailed andaccuratemessage recording system, takingappropriate actionwhere necessary, and contacting members of the team asappropriate ifmessages require urgent /early attention.
  • Take responsibility for the initial local resolution of problems and complaints that may arise with staff/clients. Exercise negotiating skills and tact to achieve agreement and co-operation.
  • To be fully aware of confidentiality guidelines and exercise judgment and care when exchanging confidential and sensitive patient information.
  • Recording of confidential and sensitive informationin accordance with procedures, within negotiated time scales, and using a full range of IT packages.
  • Day-to-day supervision of junior administrative staff including 1:1's and PADR's.
  • Participate in the induction of new team members and ensure that all new staff are aware of departmental administrative procedures and standard operating procedures.
  • Delegation of daily workload to allocate to Band 3 administrative staff.
  • Attend and chair the admin team meetings and any other admin related activities such as the admin forum.
  • Highlighting staff performance issues to line management.
  • Support in planning the orientation, induction and training of newteam members.
  • Monitoring and highlighting capacity issues and flag where support is required.
  • Deputising for B5 when required due to absence/leave.
