Job summary
The Band 4 SPA Administrator role offers an exciting opportunity to join a busy and dynamic 24/7 Mental Health Single Point of Access (SPA) service. You will play a key role in supporting the delivery of high-quality mental health services by providing comprehensive administrative and coordination support to a multidisciplinary team.
Working in a fast-paced environment, you will manage referrals, maintain patient records, support clinical teams with triage processes, and ensure accurate data entry across Trust systems. This role is ideal for an experienced administrator who is highly organised, customer focused, and able to communicate effectively with colleagues, service users, carers, and partner organisations.
As part of a supportive team, you will contribute to ensuring individuals can access the right mental health services at the right time whilst helping to maintain efficient and responsive service delivery.
Main duties of the job
The Single Point of Access (SPA) provides access to mental health services for service users, carers, professionals and partner agencies. As a Band 4 SPA Administrator, you will provide comprehensive administrative support to ensure the smooth running of the service.
Key responsibilities include managing referrals, maintaining electronic patient records, tracking service activity, arranging meetings, taking minutes, producing reports, monitoring waiting lists and supporting clinicians with the coordination of patient care pathways. You will be responsible for handling enquiries by telephone and email, communicating professionally with service users and healthcare professionals, and ensuring information is processed accurately and confidentially.
You will also support service performance through data quality monitoring, reporting activity information, and contributing to continuous service improvement. The role requires excellent organisational skills, attention to detail, the ability to prioritise competing demands, and a commitment to delivering a high standard of customer service within a mental health setting
