Job summary

The Ward Clerk/Receptionist provides administrative and reception support to ensure the smooth day-to-day running of the ward. The post holder will be the first point of contact for patients, relatives and visitors, supporting patient admissions, discharges, record management, telephone enquiries and ward communications. The role is essential in supporting patient flow, service delivery and a positive patient experience.

Main duties of the job

-Provide a professional and welcoming reception service for patients, relatives, visitors and staff. -Act as the first point of contact for telephone and face-to-face enquiries, responding appropriately or directing queries as required. -Support patient admissions, transfers and discharges, ensuring all relevant information is recorded accurately and in a timely manner. -Maintain and update patient records and electronic systems in line with Trust policies and confidentiality requirements. -Undertake general administrative duties including data entry, filing, scanning, photocopying and document management. -Facilitate effective communication between the ward, multidisciplinary teams and other departments. -Monitor and order stationery and administrative supplies as required. -Support the smooth day-to-day running of the ward and contribute to efficient patient flow. -Ensure all administrative tasks are completed accurately, maintaining high standards of customer service and patient experience. -Work collaboratively with clinical and non-clinical colleagues to support safe and effective service delivery.

Job responsibilities

The Ward Clerk/Receptionist is responsible for providing a comprehensive administrative and reception service to support the effective day-to-day running of the ward. The post holder will act as the first point of contact for patients, relatives, visitors and staff, ensuring a professional, courteous and efficient service at all times.

Key responsibilities include:

  • Provide a welcoming and professional reception service for patients, relatives, visitors and members of the multidisciplinary team.
  • Manage telephone and face-to-face enquiries, responding appropriately and directing queries to the relevant person or department.
  • Support patient admissions, transfers and discharges, ensuring documentation and electronic records are completed accurately and promptly.
  • Maintain patient information systems and records in accordance with Trust policies, confidentiality requirements and data protection legislation.
  • Undertake a range of administrative duties including data entry, filing, scanning, photocopying, document management and management of ward correspondence.
  • Facilitate effective communication between the ward, clinical teams and other departments across the Trust.
  • Ensure patient records and ward documentation are maintained accurately, securely and are readily available when required.
  • Assist with the coordination of appointments, transport requests and other routine ward administrative processes.
  • Monitor and maintain ward stationery and administrative supplies, raising orders as required.
  • Support effective patient flow by ensuring timely completion of administrative processes relating to admissions, transfers and discharges.
  • Work collaboratively with clinical and non-clinical colleagues to support high standards of patient care and service delivery.
