Job summary

Westleigh Medical Practice is a well-established training practice serving approximately 4600 patients in Westleigh and Abram. We have two surgeries - Westleigh (main site) and Abram (branch site). Recently CQC inspected and awarded GOOD. We are a member of the Leigh Primary Care Network (PCN). We value the relationship with our patients and take pride in the endeavour to deliver a high standard of care.

Main duties of the job

  • Monday - Friday 08:00-18:30
  • Welcome and receive all patients and visitors to the Practice.
  • Assist and direct patient through our practice access.
  • Process all requests for appointments, visits and telephone consultation/triage ensuring all calls are directed appropriately.
  • Project a positive, professional and friendly image to patients and visitors either in person or on the telephone.
  • Complete new registration procedures and ensure accurate recording of details at all times.
  • Receive and make telephone calls as required.
  • Action repeat prescription requests as required.
  • Provide test results to patients.
  • Facilitate effective communication between patients, staff, secondary care and other associated healthcare agencies.
  • Act as a chaperone for general examinations if requested.
  • Maintain a general overview of the reception area and take appropriate action to manage difficult patient behaviour or those whose illness/condition worsens while waiting to be seen.
  • Deal with general enquiries and explain procedures as requested.
  • Process clinical letters coming into the Practice as required.
  • Communicate with patents in a variety of ways (online, text, phone, in person, email).
  • Assist patients with using latest digital technology.

About us

Westleigh Medical Practice has two clinical partners (ANP/GP). The Clinical Team consists of Two GP's, Two Advanced Nurse Practitioner's, One Physician Associate, Two experienced Practice Nurses and One Health Care Assistant. We also have Foundation Doctors and GP Trainees. We are also a Gold Award Training Practice with the University of Manchester for medical students. We have a dedicated, knowledgeable and long-serving reception and administrative team. We have a strong focus on patient care, teamwork and continuous improvement.   • Provide a warm, professional welcome to patients and visitors.
  • Manage patient queries both in person and over the telephone.
  • Direct patients to appropriate services in line with practice protocols.

Administrative Duties

  • Manage appointment bookings, cancellations and enquiries using the Accurx and Systmone clinical system.
  • Print, scan, code and file documents using Workflow
  • Handle repeat prescription requests in line with practice procedures.
  • Maintain accurate and up to date patient records.
  • Support clinicians with administrative tasks to ensure smooth daily operations.

Clinical System & IT Use

  • Confidently use SystmOne and Accurx as part of daily duties.
  • Use Microsoft 365 (Outlook, Teams, Word, Excel)to support communication and workflow.

Teamwork & Practice Support

  • Work collaboratively with the reception and administrative team.
  • Report any issues or concerns promptly to the management team.
  • Contribute to maintaining a calm, organised and patient focused reception environment.
  • Adapt to changes in practice processes or requirements.

  • Excellent communication and interpersonal skills.
  • Strong organisational skills and attention to detail.
  • Reliable, punctual, flexible and able to work independently as well as part of a team.
  • Ability to remain calm, polite, and professional under pressure.

Desirable

  • Previous experience working in a GP practice or healthcare reception role.
  • Confident use of Systmone and AccuRx
  • Proficiency in Microsoft 365 (Outlook, Word, Excel, Teams).
  • Ability to work efficiently in a fast paced environment.
  • Commitment to patient confidentiality and compliance with GDPR.
