Newgate Medical Group is looking to recruit an organised and proactive Practice Manager's Administrator.

This is a varied administrative role providing comprehensive support to the Practice Manager and, when required, the wider Senior Management Team within a large GP practice.

The successful candidate will help maintain effective administrative systems, manage documents and records, prepare spreadsheets, monitor deadlines, organise meetings and provide diary and correspondence support.

Excellent written and verbal communication skills, strong IT skills and the ability to organise and prioritise a varied workload are essential. The post holder will handle confidential and sensitive information and must demonstrate accuracy, discretion and a high level of integrity.

Main duties of the job

The Practice Manager's Administrator will provide day-to-day administrative support to the Practice Manager and wider management team.

The role includes managing correspondence and diaries, maintaining records and policies, preparing documents and spreadsheets, monitoring deadlines and supporting meetings. The post holder will also assist with management information, internal systems and other administrative tasks required for the smooth running of the practice.

Job description
Job responsibilities

The following are the core responsibilities of the Practice Manager's Administrator.

There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels.

Maintenance of Practice Management archive system.

Photocopy and scan documents as required.

Answer incoming phone calls, transferring calls or dealing with the callers request appropriately to support the Practice Manager.

Manage Practice Manager diary and provide admin support in preparation for meetings.

Manage the Practice Manager's emails during periods of absence forwarding to appropriate staff member or responding.

Manage all administrative queries as necessary.

Carry out system searches as requested.

Manage NMG Policy database review existing policies and update in conjunction with Practice Manager, senior management and HR.

Issue updates and new policies to all staff when approved and required.

Create and maintain log of Practice subscriptions, insurance policies, service level agreements.

Providing information to Practice Manager in a timely manner.

Manage Locum insurance claims Paternity/maternity/Sick Leave

Maintain a clean, tidy, effective working area at all times.

Support Practice Manager with general administrative tasks requested, including information gathering, to assist where required.

Manage Duty Manager Rota.

Order and distribute staff uniforms as and when required.

Maintain TeamNet introductory emails issued to develop further by regular maintenance, updating staff profiles, adding complaints, SEAs, compliments, and policies and evolve fully into the Practice.

Support with records of Claims submitted and monies received.

Ensure claims submitted by responsible person within deadlines.

Maintenance of Health & Safety risk register in consultation with Practice Manager.

Recording and scheduling annual risk assessments.

Business continuity plan update and maintain information as required.

Prepare spreadsheets for financial analysis as required.

Maintain Workforce Quarterly Return

Assist Practice Manager to ensure timely submission of FP34D.

Minute taking for any management meetings as required.

Support all Senior Management Team members at the request of Practice Manager when required.

Produce spreadsheets as per business need.

Knowledge of systems used by management team to be able to support when required.
