Job summary

At the heart of exceptional patient care is a brilliant support team. Our clinical staff rely on us to keep daily operations running seamlessly so they can focus on delivering outstanding care. Based in Sheerness, Kent, our administration office is a vibrant, fast-paced environment where no two days are the same.

We are looking for an organised, approachable, and detail-oriented Administrator to join our team. If you thrive on helping others, bring positive energy to a team, and stay calm under pressure, this role offers a rewarding opportunity to make a tangible difference to our staff and patients every day.

What We Are Looking For

  • Proficiency in Microsoft Office (Outlook, Excel, and Word).

  • Previous audio typing or digital dictation experience (desirable).

  • Strong attention to detail and ability to remain calm and composed under pressure.

  • A collaborative, patient-focused approach to everyday tasks.

Main duties of the job

  • Patient & Service Point of Contact: Provide a warm, confident, and professional first point of contact for patients, handling bookings and incoming enquiries with empathy and efficiency.

  • Document Preparation & Dictation: Produce a wide range of accurate correspondence, reports, and documents from digital dictation, notes, or spreadsheets (audio typing experience is an advantage).

  • Meeting & Appointment Coordination: Schedule patient appointments and organise internal meetings, ensuring agendas are prepared and accurate minutes are recorded.

  • Interdepartmental Liaison: Communicate effectively across internal teams to facilitate smooth information flow and daily workflow operations.

  • General Office Administration: Handle general administrative tasks, including printing, photocopying, laminating, binding materials, and managing routine filing.

  • Information Governance: Process sensitive patient and clinical information with complete confidentiality, precision, and adherence to quality standards.

About us

We are Kent and Medway Mental Health NHS Trust. We care for the mental health and wellbeing of people across Kent and Medway and are rated 'Good' by the Care Quality Commission (CQC).

Our teams support children, young people and adults with a wide range of mental health needs. We also provide specialist services, including all-age eating disorder services and neurodevelopmental assessments for children and young people, such as autism and ADHD.

Because we work across the whole county and across hospital and community settings, we can make care more joined up and easier to access for the people we serve.

Our vision is simple: we are here to help communities not just live with mental illness, but live well. It's why we're passionate about working with communities to make mental health care better for everyone. Everything we do is guided by our values: caring, inclusive, curious and confident.

Join us if you share our passion for better mental health care and want to be part of a team that's working well together.
