Job summary

We are a small, friendly and busy GP Practice where no two days are the same. We are looking for a Prescribing & Medicines Management Clerk with Receptionist Duties to join our supportive team and play a vital role in helping our patients receive safe, timely and effective care.

Fast-paced and varied, this role needs you organised, calm under pressure and great at managing tasks. You'll process prescriptions, monitor medication reviews, follow up with patients and support medicines management plus provide reception cover: greeting people, answering calls, helping with enquiries and being a reassuring first contact. You'll work closely with GPs, our Clinical Pharmacist and the whole team.

Demanding but deeply rewarding: you'll make a real difference getting medication right, guiding patients, or simply being kind.

Previous GP/NHS experience is desirable, but full training is given.

Main duties of the job

We seek a part-time, permanent Prescribing & Medicines Management Clerk with Receptionist Duties to join our friendly team.

23 hours per week - days and times to be covered:

  • Mon 12pm - 6pm
  • Wed 1pm - 6.45pm
  • Thu 8am - 1pm
  • Fri 12pm - 6.45pm

Brief Description of Duties

You'll support safe prescribing/medicines management and provide reception cover, helping patients access the right care.

Duties include:

  • Processing repeat & acute prescriptions; checking records & routing to clinicians
  • Identifying non-standard requests, gaps in treatment & items needing review
  • Monitoring medication alerts, recalls, HRD/shared-care & QOF reviews via EMIS
  • Inviting patients, following up non-responders & recording all contact
  • Medication reconciliation, highlighting discrepancies to clinical team
  • Reception cover: welcoming patients, answering calls, appointments & enquiries
  • Promoting NHS App/digital services; liaising with teams, pharmacies & NHS partners
  • Handling confidential info per GDPR & practice policy
  • Escalating clinical concerns no independent clinical decision-making

Current patients: If offered post, you must register with another GP practice before starting.

Job responsibilities

The postholder will provide administrative support to the Practice prescribing and medicines-management function, helping to ensure prescription requests, medication monitoring, recalls, reviews and medication-related queries are processed accurately, efficiently and safely.

Key responsibilities will include:

  • Processing routine repeat prescription requests in accordance with Practice policies and procedures.

  • Checking prescription requests for appropriate authorisation, monitoring requirements, medication reviews and other relevant information before forwarding to an authorised prescriber.

  • Identifying requests requiring clinical review and escalating appropriately to a GP, Clinical Pharmacist or other authorised prescriber.

  • Supporting medication monitoring, recalls and annual medication reviews using EMIS Web, searches, alerts and Practice tracking systems.

  • Supporting monitoring of high-risk medicines and shared-care medications, including patient invitations, follow-up and escalation of non-responders.

  • Supporting medication reconciliation, QOF-related activity, structured medication reviews and medicines optimisation.

  • Assisting with Controlled Drug and electronic Repeat Dispensing (eRD) administration in accordance with Practice procedures.

  • Liaising professionally with pharmacies, hospitals, community services and other NHS organisations regarding administrative medication-related queries.

  • Maintaining accurate patient records and documentation and ensuring all information is handled confidentially and in accordance with GDPR, Caldicott and Practice information-governance requirements.

  • Signposting patients to appropriate NHS services and digital routes where required.

  • Providing reception cover on designated days and at specified times, undertaking all reception duties during the allocated periods, including telephone calls, face-to-face enquiries, appointments, online triage and general patient support.

  • Working collaboratively with clinical and administrative colleagues to provide an efficient, professional and patient-focused service.

  • Undertaking other reasonable duties appropriate to the role as requested by the Practice Manager or Partners.

The role requires excellent attention to detail, good organisational and communication skills, the ability to follow procedures and recognise when clinical escalation is required, and a professional and compassionate approach to patient care.

Important: This is an administrative role and does not involve independent clinical decision-making. Clinical decisions regarding prescribing, medication changes, treatment and interpretation of results remain with appropriately authorised healthcare professionals.
