Job Overview
We have an exciting opportunity for an enthusiastic and motivated individual to join our Secretarial Team on a full-time basis, providing an important link between our clinical team, patients and secondary care services.
Working as one of two Medical Secretaries, you will play a key role in processing referrals generated by the clinical team, ensuring they are completed accurately and in line with current policies and referral pathways. You will also be responsible for managing tasks and queries from the wider team, as well as responding to enquiries from patients and referral providers.
Knowledge of referral processes, primary and secondary care services, medical terminology, clinical coding and confidentiality would be advantageous.
We are looking for a highly organised and reliable team player with an excellent work ethic. You should be able to work independently, manage competing priorities effectively and contribute positively to a busy team environment.
Applications are welcomed from candidates with experience of working within a GP practice or wider NHS organisation, as well as those who have a good understanding of primary care and NHS services.

Main duties of the job
Main Duties of the Role
- Complete referral processes, ensuring that all requests are processed and actioned promptly and in line with current policies and referral pathways.
- Review and action administrative tasks generated by GPs and other members of the Practice team following patient consultations and clinical encounters.
- Assist Practice staff with referral-related queries, identifying solutions and escalating issues where appropriate.
- Support the Administration, Data and Workflow Team with Practice initiatives, quality improvement projects, contractual requirements and service development activities.
- Ensure that information relating to referral waiting times is kept accurate and up to date.
- Ensure that referral processes and Practice-based protocols are regularly reviewed and kept up to date.

Job Responsibilities:
- To manage patient referrals across multiple platforms including the e Referral Service, email and online portals.
- To process and monitor fast track referrals and appointments in a timely manner.
- To establish and maintain filing and administrative systems so that all documents produced are easily accessible and secure.
- To assist the completion of medical records when appropriate.
- To receive incoming and initiate outgoing telephone calls in order to facilitate timely and appropriate communications with others.
- To maintain a system for the recording of outgoing practice referrals and letters.
- To manage and action emails received into the secretary NHS email account.

To be responsible for any ongoing actions following the inputting of data i.e. follow up texts and letters to patients.
- To provide cover for members of the secretarial team during periods of sickness and annual leave.
