Job summary

An exciting opportunity has arisen to join our team. We are recruiting for a reception coordinator to work to our management team. As the reception coordinator you will be an active member of the reception rota and be responsible for the supervision of the reception team including some HR responsibilities as delegated by the Practice Manager. Ensuring all day to day reception duties are performed effectively and to the required standard of the practice.

Deal with complaints in accordance with practice complaints procedure. Complaints that cannot be answered swiftly to the patients satisfaction should be referred to the Practice Manager. Provide a high standard induction training for new starters and liaise with Operations Manager concerning staffing and organisation work. Attend staff meetings and support Assistance Practice Manager hosting reception meetings and provide minutes and admin for the meetings.

Assist with day to day running of the practice including health and safety checks, prescription clerking and managing reports.

Support the management team in promoting ED&I, SHEF, Quality & CI, Confidentiality, Collaborative Working, Service Delivery, Learning and Development and carry out other duties as directed by the Practice Manager.

Main duties of the job

The following are the core responsibilities of the reception co-ordinator. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels.

The reception co-ordinator is responsible for supervising and supporting the reception team, ensuring they achieve their primary responsibilities:

a. Active member of the reception staff rota

b. Monitoring the practice appointment system

c. Ensure high standard of customer / patient service is delivered by the receptionist team

d. Process personal, telephone and e-requests for appointments

a. Signpost patients to the correct service

b. Initiating contact with and responding to, requests from patients, team members and external agencies

c. Workflow, Scan and Read code data on Systm1

d. Photocopy documentation as required

e. Data entry of new and temporary registrations and relevant patient information as required
