Job summary
The Brent Children's Clinical Services Unit has an exciting opportunity for a dynamic and organised individual with a keen eye for detail to support our Specialist Children's Services.
You will be joining our forward-thinking and innovative Child Development Service in Brent, providing essential administrative support to help our teams deliver high-quality, family-centred care.
We are looking for a proactive individual with a good understanding of databases, Excel and clinical systems such as EMIS. You will be responsible for inputting and maintaining accurate information, generating reports and ensuring caseloads and waiting lists are kept up to date. This will also include supporting teams with validating data provided by the CLCH Business Team.
You will work closely with a wide range of clinical staff, supporting the management of waiting lists, coordinating and booking appointments in line with service targets, and sharing reports with relevant external partners.
You will be supported by and work closely with our existing administrative team, Service Manager, and nursing and medical colleagues.
Previous NHS administrative experience is essential.
Main duties of the job
The post holder will provide high-quality administrative support to the Brent Child Development Service (CDS), with cross-cover for Children's Speech and Language Therapy, Physiotherapy and Occupational Therapy services when required.
Key responsibilities will include:
- Managing new referrals and ensuring information is processed accurately and efficiently.
- Booking and coordinating clinics and appointments, including communicating with patients, parents and carers.
- Maintaining and updating waiting lists and supporting waiting list recovery activity.
- Providing administrative support for both in-house assessments and services delivered by commissioned external providers.
- Managing clinical records and data, including accessing relevant systems, allocating cases and downloading reports.
- Sharing assessment outcomes with relevant teams and stakeholders in a timely and confidential manner.
- Coordinating onward referrals in line with clinical recommendations and helping ensure children and families experience a smooth and efficient service.
