Job summary
Reporting to the Practice Operations Manager, you will provide the day-to-day management and oversight of the Haddenham Patient Services team. You will be at the forefront of developing and managing your team's performance, ensuring that tasks are completed with precision and efficiency. Ensuring patient healthcare needs are met and we offer an outstanding healthcare experience to every patient. You will also actively promote innovation and embed new ways of working to enhance service quality and responsiveness to patient needs.
Main duties of the job
- Provide ongoing support and training to the Patient Services team, ensuring processes are understood and followed and that all team members are confident and effective in their workTo facilitate patient access to the appropriate primary care service or healthcare professional
- Ensure effective communication between patients, practice staff (both clinical and nonclinical), as well as wider members of primary and secondary care, and associated healthcare agencies
- Monitor team efficiency, report any concerns
- Embed cross team working and support
- Be able to hold regular one-to-ones with your team, addressing simple issues and liaising with the Practice Operations Manager on more complex issues
- Ensure appointments are used in the most appropriate fashion.

The Role
Reporting to the Senior Clinical Manager, you will be supporting Document Management Processing. To be responsible for the medical coding of clinical correspondence onto our clinical system.
Your Responsibilities
Administration Management of risk
- Ensure security of data at all times
- Summarise and code relevant information from patients paper records into the practice clinical system
- Extraction of necessary data from clinical correspondence and input into electronic patient record
- Check QoF requirements and record and code necessary data
- Electronically file copies of hospital referrals and letters and any other relevant correspondence into patients notes
- Action tasks to Clinical Admin Team in a timely fashion
- Processing new Mother & Baby letters/Task Perinatal Team with new baby information
- Record and code domestic violence/safeguarding reports
- Code the new clinical records when they arrive in the practice
- SystmOne administration and tasks (Summary care records/GP2GP extracts/Welcome Home Letters/Death protocol)
- Administration of diabetic Eye screening Service/Breast Screening/Cervical Screening/Bowel Cancer Screening
- Administration of NHS Cervical Screening system for cervical cytology screening
- Allocation of GP admin tasks/pathology results/documents
- Processing Lloyd George notes for new patients to the practice and deducted patients.
Management of risk
- Manage and assess risk within the areas of responsibility, ensuring adequate measures are in place to protect staff and patients
- Monitor work areas and practices to ensure they are safe and free from hazards and conform to health, safety and security legislation, policies, procedures and guidelines
- Apply infection-control measures within the practice according to local and national guidelines
- Advocate for policies that reduce environmental health risks, are culturally sensitive and increase access to health care for all
- Interpret national strategies and policies into local implementation strategies that are aligned to the values and culture of general practice.
Managing information
- Use technology and appropriate software as an aid to management in planning, implementation and monitoring of care, presenting and communicating information
- Review and process data using accurate read codes in order to ensure easy and accurate information retrieval for monitoring and audit processes
- Manage information searches using the internet and local library databases
- Understand responsibility of self and others regarding the Freedom and Information Act.
Learning and development
- Undertake mentorship for more junior staff, assessing competence against set standards
- Disseminate learning and information gained to other team members in order to share good practice and inform others about current and future developments (e.g. courses and conferences)

Reporting to the Senior Clinical Manager, you will be supporting Document Management Processing. To be responsible for the medical coding of clinical correspondence onto our clinical system.
Your Responsibilities
Administration Management of risk
- Ensure security of data at all times
- Summarise and code relevant information from patients paper records into the practice clinical system
- Extraction of necessary data from clinical correspondence and input into electronic patient record
- Check QoF requirements and record and code necessary data
- Electronically file copies of hospital referrals and letters and any other relevant correspondence into patients notes
- Action tasks to Clinical Admin Team in a timely fashion
- Processing new Mother & Baby letters/Task Perinatal Team with new baby information
- Record and code domestic violence/safeguarding reports
- Code the new clinical records when they arrive in the practice
- SystmOne administration and tasks (Summary care records/GP2GP extracts/Welcome Home Letters/Death protocol)
- Administration of diabetic Eye screening Service/Breast Screening/Cervical Screening/Bowel Cancer Screening
- Administration of NHS Cervical Screening system for cervical cytology screening

- Manage and assess risk within the areas of responsibility, ensuring adequate measures are in place to protect staff and patients

The Role

- Process repeat prescriptions accurately and in a timely manner
- Prepare, dispense and check medication within practice procedures
- Assist patients with prescription collections and dispensing queries

- Assist with monitored dosage systems and controlled drug prescriptions where required

The Role
To provide a safe, accurate and efficient dispensing service to patients whilst supporting the smooth running of the dispensary. The post holder will be expected to undertake further training and development with the aim of achieving accredited Checker status within an agreed timeframe.
Your Responsibilities
Dispensing and Patient Support
- Process repeat prescriptions accurately and in a timely manner
- Prepare, dispense and check medication within practice procedures
