RADIOLOGY SENIOR APPOINTMENTS CLERK - Band 3

Do you want to be part of our very friendly, hard-working and forward-thinking Appointments Team? If yes - a vacancy has arisen in this area of the Radiology Department.
Merseyside and West Lancashire Teaching Hospitals is a busy acute trust situated 8 miles from Liverpool City Centre, which is committed to delivering the highest quality patient care. It consists of two hospital sites - Whiston and St Helens Hospitals and three community-based departments.
The Radiology department performs over 310,000 examinations per year and provides a 7-day imaging service; therefore the post will include evening, weekend and bank holiday duties on a rota system.
The successful candidate will work as part of a team to ensure the smooth running of this very busy department, by booking a wide range of imaging appointments.
Applicants should be hard working, enthusiastic and well-motivated with excellent organisational skills and both written and verbal communication skills. Previous experience of telephone work will be an advantage.
Successful applicants will require a satisfactory enhanced disclosure from the Criminal Records Bureau.
The JD & PS are currently under AfC review and are subject to change.
Main duties of the job
Make appointments on the Radiology Information System following appropriate imaging services pathways and following the correct procedure to ensure accurate data entry.
Monitor the radiology PTL and ensure no patients breech the 6 week diagnostic target, ensuring cancer patients and urgent patients are appointed within 7 days.
Ensure correct procedures are followed in moving the patients from orders to waiting list to appointment with the correct urgency code.
- To deal with pending elective appointments and cancellations, liaising with all relevant staff (including Consultants, Managers, Lead Radiographers and clinical support staff). Escalating any issues/breaches to the Appointments Supervisor or lead radiographer.
Responsible for booking Specialist Radiology appointments that may require a TCI. Ensure a bed is booked and all preparation has been communicated to the patient.
Meet/liaise with Consultant's on a regular basis in order to manage lists effectively whilst ensuring best use of capacity. Be responsible for the updating and accuracy on electronic systems.

Order interpreters for patients attending for radiology appointments by e-mail.
Liaise with Consultant Radiologists regarding availability for lists dependent on annual leave.
Register patients on relevant Trust Information System or update details if patient already registered
Enter referrals promptly onto computerised Radiology Information System using waiting list coding.
Ensure rapid justification of referrals by relevant radiographic staff to meet urgent/two week cancers.
Take into account daily cancellations and alterations, contacting patients by telephone explaining in a polite and courteous manner reasons for cancellation. To follow the correct procedures and processes for all cancelled appointments and DNAs to ensure dates are re-booked and/or removed according to the Trust Patient Access Policy, escalating any issues. Ensure all cancelation slots are backfilled to maximise capacity.
Advise patients of all available options with empathy and discretion particularly when dealing with aggrieved patients regarding waiting list enquires. Significant conversations including outcomes are to be recorded on CRIS.
Complete data checks on computerised systems (PAS, NHS e-referral, EDMS) amending any changes e.g. appointment procedures, patient details, patient/hospital cancellations or time changes due to allergy risks etc.
Answer all appointment queries in accordance with departmental guidelines in a professional and courteous manner.
When the patient is in contact with the appointment office:
a. Ask the appropriate clinical questions to assess appropriate preparation and time slot
b. Discuss with the patient a mutually convenient date and time
c. Book the appointment on the Radiology Information System
d. Send an appointment letter, appropriate literature and preparation to the patient
e. Record any significant information on the CRIS system
f. Book Beds and TCI patients according to Trust policy
Arrange appointments for inpatient referrals:
a. Book appointment on the Radiology Information System
b. Liaise with the ward to arrange patient preparation and mode of transport
c. Access ADT to locate patient
d. Book porter on the Radiology Information System
General Telephone enquiries relating to patient requests to re-arrange or cancel appointments.
File referrals in date order once booking is complete.
Filing and housekeeping of all paper and electronic documentation.
Give general advice to Patients/staff in relation to appointments or re-direct to appropriate department/clinical staff.
Ensure that all diagnostic targets are met.
Deal with patients complaints over the phone on a first line basis or refer to the relevant department/member of staff. (N.B. may occasionally experience distressing situations).
Provide support and guidance to other team members in dealing with enquiries and offer non-clinical advice to patients, staff and GP surgeries. This may require tact and persuasive skills when resolving problems or difficulties when there is a need to overcome barriers to understanding.
Code all stages of booking to enable statistical information to be produced so that the service may be monitored/improved.
Awareness of Records Management, Information Governance, Caldicott, confidentiality and data protection.
Adhere to all aspects of Patient Access Policy.
Liaise with consultants, Specialist nurses, wards, secretaries and other departments in relation to radiology appointments.
The post holder will be responsible for undertaking clerical duties to support the process of the Trusts patient activity and to meet the relevant departmental targets.
Book Radiology Pre OP appointments on PAS, TCI day case radiology patients Arrange planned patient admission to Hospital liaising with the appropriate ward and admissions department.
Liaise with the Lead Radiographer and Appointment Supervisors to open and close computerised diary pages as per departmental requirements and Consultant/Sonographer/Radiographer availability.
Maintain effective track on patient referrals to ensure patient is imaged promptly.
Monitor data quality on RIS and PACS systems.
Monitor the copy to appointment session to ensure urgent patients are given appointments
Ensure appropriate follow up investigations are in place and rectify if not.
Work from initiative using own judgment, acquired knowledge and tact to deal with queries and resolve situations or referring to appropriate person.
Ensure all correspondence relating to patient care is acted upon in a timely manner.
Attend appropriate training and education sessions at the request of manager.
Under the direction of the Radiology Appointment Supervisors work with co-ordinators/leads/managers to review working practices, ways of working and find solutions to problems.
The post holder will be responsible for undertaking clerical duties to support the process of the Trusts patient activity and to meet the relevant departmental targets following departmental booking Policy and Procedures.
Arrange ambulances or transport for appointments if required.
To work in a flexible manner in accordance with the Trust Policy.
Liaise with other hospitals both NHS and private, GPs, secretarial, clerical, wards, and cancer services.
Any other duties required by Line Manager.
The post holder will be expected to cover the duties of other clerical staff in the Radiology department during times of sickness absence or annual leave.
ADMINISTRATIVE RESPONSIBILITIES
Responsible for accurate data entry on the Radiology Information System.
To ensure the accuracy of data quality in line with departmental policies and procedures (i.e. name, date of birth, address, postcode, GP and telephone number) are all current and correct.
Ensure all documentation associated with regulations are kept and stored appropriately.
TEACHING & TRAINING RESPONSBILITIES
Responsible for staff training new starters within the Appointments Team and act as a mentor throughout the process. Providing support to the appointments clerks in their day to day tasks.
Ensure each appointments clerk has been advised of their responsibilities before being held accountable. Each member of staff must be provided with thorough training and have completed signed competencies for work that is assigned to them.
Develop oneself within the job role to enhance performance and accept responsibility for achieving own development objectives.
Ensure all staff are aware of the Data Quality Policy and are kept up to date with data quality issues to establish and maintain standards.
Liaise with departmental manager to correct errors and agree corrective procedures if required e.g. retrain staff to reduce future recurrences.
LINE MANAGEMENT/SUPERVISORY RESPONSIBILITIES
Provide advice to the appointments staff regarding exam preparation in line with departmental protocols.
Support appointments staff to deal confidentially and competently, as appropriate, with either distressed or aggressive patients/relatives.
Ensure all appointment staff maintain high data quality standards and are aware of the Data Quality Policy.

Order interpreters for patients attending for radiology appointments by e-mail.
Liaise with Consultant Radiologists regarding availability for lists dependent on annual leave.
Register patients on relevant Trust Information System or update details if patient already registered
Enter referrals promptly onto computerised Radiology Information System using waiting list coding.
Ensure rapid justification of referrals by relevant radiographic staff to meet urgent/two week cancers.
Take into account daily cancellations and alterations, contacting patients by telephone explaining in a polite and courteous manner reasons for cancellation. To follow the correct procedures and processes for all cancelled appointments and DNAs to ensure dates are re-booked and/or removed according to the Trust Patient Access Policy, escalating any issues. Job summary
We are seeking a Consultant in Child and Adolescent Psychiatry.
CAMHS is part of the Specialist Services Strategic Business Unit in HPFT, managed by the Clinical Director (Dr Shaheen Shora - Fiona McMillian-Shields -non-medical).
CAMHS is managed by a Senior Service Line Leader, Gill Bienveniste supported by Professional Leads and CAMHS Community Managers.
The clinics accept referrals from a number of sources including General Practitioners, SocialWorkers, Health Visitors and Consultant Paediatricians.
Referrals are processed through SPA (the Single Point of Access). The teams are multi-disciplinary including Child and Adolescent Psychiatrists, Psychologists, Mental Health Nurses, Child Psychotherapists, Systemic Therapists and Social Workers.
These teams work on an outpatient model and currently receive approximately 250 referrals per month across Hertfordshire.
Forest House is a specialist psychiatric inpatient unit providing care to children and young people 13 to 18.
The unit admits children through a planned process of assessment, family consultation and liaison with the local CAMHS Tier 3 team.
The Unit has recently been refurbished and extended to 16 beds to include acute admissions and it is an in-patient adolescent unit for East of England NHS.
There is also a provision for eating disorder admissions under the supervision of a dedicated Eating Disorder Service.

Main duties of the job
An exciting opportunity has become available for a Consultant Psychiatrist to join our current consultant workforce in our Adolescent In-Patient Unit, Forest House Adolescent Unit within Radlett in Hertfordshire.
The successful applicant will work alongside 1 substantive consultant and a medical team composed by Specialty Doctors, GP trainees, Psychiatry Specialty and Core Trainees.
The post holder will complement and support the Senior Leadership Team composed by the other consultant, Therapy Lead, Modern Matron, Team Leaders, Consultant Social worker, Home Treatment Team Lead to achieve the delivery of highest standards of care and contribute to operational management and clinical governance.
About us

As the team deal with a wide range of enquiries, the postholder will be expected to liaise effectively with colleagues across multiple departments and locations.
The Reception and Appointment Clerk provides a frontline welcome, support, information and signposting to patients receiving treatment for cancer and those living with non-malignant blood conditions. The role is an integral part of the multidisciplinary team supporting both outpatient and day unit services
Main duties of the job
Communication:
o To welcome patients to the department, ensuring that patient information held is correct (address, telephone numbers, GP details, Next of Kin details), and that the attendance is recorded on Medway/Mosaiq.
o To liaise with patients, wards, clinical staff, GPs and Trust support staff in person, via telephone and email as and when necessary.
Patient Care:
o To show a caring and professional approach towards patients, relatives and carers. This may require acting with resilience to deal with sometimes distressed patients and relatives in an empathetic manner
Organising and Planning:
o To carry out associated duties, for example, call handling, outcoming clinic appointments, booking bloods, managing the team inbox, scanning, and patient filing.
Service Development and Research:

o Assist in training of new members of the team.
o To take part in departmental audits and associated duties.
Finance and Resources:

The Leeds Diabetes Neighbourhood Health Programme is a new integrated model of care, bringing together primary care, community services and specialist teams to improve outcomes for people living with diabetes and multiple long-term conditions. As part of this innovative programme, we are looking to recruit a dynamic and motivated Highly Specialist Clinical Pharmacist for Diabetes on a 0.4 WTE basis (15 hours per week). The role is based within Leeds Community Healthcare and will primarily support the programme across the Beeston, Middleton and Hunslet areas of south Leeds, working closely with GP practices, community teams and specialist diabetes services. The role offers an opportunity to work across organisational boundaries and care settings, from primary care and neighbourhood multidisciplinary teams to citywide specialist diabetes services. You will work alongside the Consultant Pharmacist for Diabetes, senior clinical leaders and partner organisations to shape and deliver innovative approaches to diabetes care. The community inpatient ward in Whitby has 16 beds and takes rehabilitation, end of life patients, palliative patients , and those who require step up or step down nursing care.

Main duties of the job
As part of our team, you will work collaboratively with colleagues, helping to deliver excellent services and ensuring the highest standards of patient care. The post is 50% clinical and 50% research, providing research experience in multiple sclerosis and other inflammatory disorders of the central nervous system, and general clinical neurology experience.
You will join a distinguished neuroscience research team working across the Trust and University, studying inflammatory and haemorrhagic brain conditions. The group publishes multiple four-star manuscripts annually. Research benefits from a dedicated clinical research facility, a wet laboratory with biochemical, molecular and histochemical capability, image-processing workstations, and access to high-performance supercomputing, a research-dedicated MRI scanner, and other facilities. You will join the CRN Wessex Research Fellow programme, within the Southampton Academy of Research (SoAR), to gain the necessary skills to deliver high-quality portfolio research activity throughout their future career.

Main duties of the job

We are seeking an enthusiastic individual with previous health or social care experience to support our team in providing occupational therapy to acute inpatients within complex care medicine at Southmead Hospital.

Main duties of the job
Under the supervision of a registered occupational therapist, you will work with patients on the wards and in therapy areas to provide a range of interventions to facilitate recovery and promote independence. Due to the rapid expansion of our Cardiac Surgery research portfolio, we have an exciting opportunity for an experienced and enthusiastic cardiovascular nurse to join our Cardiac Surgery Research Team. Successful candidates will be involved in a range of clinical trials, involving mostly cardiac surgery patients. Experience in the speciality of cardiac surgery will therefore be essential. You will be working closely with a large multidisciplinary team, including clinical academics, university and commercial trial teams. Ability to engage supportively and effectively with patients and clinical staff will be essential in ensuring that our studies are well delivered and the standards of care of care for our study patients is exemplary.
Training and development will be a key focus in ensuring the successful candidate can develop their expertise in clinical research, within a supportive environment.
Seeing the patients safely through the trials offers lots of patient contact, but additionally the role provides the opportunity to be involved in many elements of the trials from study set up through to closure. This makes for a varied and interesting career choice. Excellent communication skills are essential as a key area of the job is to facilitate the informed consent process.
Main duties of the job
- Assist in the overall set up, organisation and delivery of clinical trials ensuring adherence to ICH-GCP standards within the Research Governance framework and adhering to other related regulations/SOPs.
- Work closely with other research team members, using clear lines of communication with the wider clinical care team and support departments to ensure each patients smooth and safe journey throughout the studies.
- Co-ordinate arrangements for patients participating in clinical trials, according to study protocols, and communicate all necessary information to relevant personnel.

- Design, implement and manage the ServiceNow Configuration Management Database (CMDB) using automated discovery and manual service mapping techniques.
- Develop and maintain SACM policies, standards and processes, ensuring alignment with ITIL best practice.
- Ensure completeness, accuracy and integrity of configuration and asset data within the CMDB.
- Conduct regular audits, verification and reporting of Configuration Items (CIs) to maintain data quality.
- Support ITSM processes by enabling impact analysis, incident resolution, problem management and release planning through accurate CMDB data.
