Working with our reception and admin team is interesting, fulfilling and challenging, all at the same time. Mostly, it it rewarding - especially when you get the patient to the right place quickly, and when you get that thank you through the post.
Your role is to offer help and assistance to our patients who are seeking care, and to put a friendly, welcoming face and voice to our practice.
This means you will receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way.
You will project a positive and friendly image to patients and other visitors, either in person or via the telephone
You will cooperate in all practice matters, providing general assistance to the whole Practice team ensuring a productive and happy atmosphere, greater job satisfaction for all concerned and, above all, giving a positive experience for our patients.
Main duties of the job
The duties of the receptionist and administrator's role at Hilary Cottage Surgery is wide ranging, and includes:
Dealing with all general enquiries, explain procedures and booking new and follow-up appointments and advising the Reception & Admin Team Manager and Doctors when problems arise.
Using judgment and communication skills to ensure that patients with no prior appointment and needing urgent consultation are seen in a logical and non-disruptive manner.
Receive and make telephone calls as required. Divert calls and take messages, ensuring accuracy of detail and prompt and appropriate delivery of messaging.
Collecting information, entering data and assisting in Practice administration work as requested.
Maintaining practice records and registers, appointments, diary, recall systems etc
Preparing rooms for surgeries and clinic
Liaising with other community staff (Midwives, Frailty Team, District Nurses, Health Visitors, etc) regarding the monitoring of drugs, maintenance of records, disposal of patients records, and making of appointments, etc.
Plus many other tasks that may need to be undertaken, as appropriate to the post, to support the smooth running of the surgery.

Hilary Cottage Surgery is a thriving, semi-rural training and dispensing practice situated in the Cotswolds, offering primary care to around 7600 patients.

About us
Hilary Cottage Surgery runs a Total Triage service with Accurx, and we use SystmOne clinical system. We are a training practice with 7 GPs, including 2 GP trainers, plus 1-2 trainees.
We are part of the South Cotswolds PCN and are based in Fairford. There are three GP Partners and four Salaried GPs combining to create a cohesive, encouraging and friendly team.
Most importantly, Hilary Cottage Surgery is a nice place to work, with a great team of GPs, nurses, pharmacist, paramedic/ANPs, phlebotomists, managers, receptionists, pharmacy technicians, HCAs, administrators and dispensers. There's about 40 of us, most of whom work part time, and we have carefully fostered and grown a working environment that cares for the team and is a nice (and even fun) place to work.

Job description Job responsibilities Job summary:To work alongside the GPs and other healthcare professionals to provide expertise in clinical pharmacy, medicines optimisation and safety which will include undertaking structured medication reviews. You will provide leadership for medicines use to ensure patients experience high quality patient care that will improve health outcomes and efficiency of the primary care team by providing direct, accessible and timely expertise including telephone contact with patients. The main duties and responsibilities will include performing face-to-face and remote medication reviews, support management of patients with long-term conditions, undertake medicines reconciliation, provide telephone consultations, repeat prescription standardization, implementation and management, drug monitoring management, and clinical audits.Job Responsibilities:Clinical Practice Action medication adjustments following receipt of hospital discharge summaries and identifying and rectifying unexplained changes to ensure that patients are supported and receive the correct medications and deal with any queries as they arise. Undertake clinical medication reviews with patients by telephone and make appropriate recommendations for the clinical team on prescribing and monitoring. Through structured medical reviews the post holder will support patients to take their medications to get the best from them, reduce waste and promote self-care. Medication reviews for patients who are regular A+E, Urgent Care Centre or hospital attenders. Carry out clinical audits to review patients on high-risk medications and monitor prescribing against local and national guidelines. Analyse and present results to highlight areas for improvement. Make recommendations for medicine switches and support clinical & dispensary staff with medicine related queries. Work with the prescribing lead to review repeat prescribing policy. Make necessary changes and interventions for re-authorisation of long-term medications. Management of repeat prescribing and management of patients with chronic diseases where medicine optimisation is required. E.g., COPD, asthma, mental health and diabetes. Promote and increase uptake and utilisation of electronic repeat Dispensing (eRD) and Electronic Prescribing (EPS) in line with local & National targets. Assist the practice to achieve QOF and Enhances Service objectives/ targets. Provide advice and support to patients in the use of medicines. Knowledge, skills and experience required Completion of an undergraduate degree in pharmacy and registration with the General Pharmaceutical Council. Must be a qualified independent prescriber or working towards Have experience and an awareness of common acute and long-term conditions that are likely to be seen in general practice. Recognise priorities when problem solving and identifies deviations from normal pattern and is able to refer as appropriate. Able to follow legal, ethical, professional, and organisational policies and procedures and codes of conduct. Involves patients in decisions about prescribed medicines and supporting adherence as per NICE guidelines.Administration and professional responsibilities Lead on and develop elements of the clinical pharmacy service to improve the patient experience. Contribute proactively to ensure optimal medicines usage by patients and healthcare professionals.
