The Hollies is a friendly, high-achieving GP practice based on the edge of Tamworth town centre, providing care to approximately 15,000 patients.
We are seeking an experienced and proactive Medical Secretary /administrator to join our busy administration team.
This is a varied and responsible role suited to someone with previous NHS, GP practice, or medical secretarial experience who is confident managing administrative tasks independently and using their own initiative in a fast-paced environment.
The successful applicant will have a good understanding of healthcare pathways, hospital departments, referral processes, and medical terminology and will be confident dealing with a wide range of queries with minimal supervision.
Main duties of the job
Main duties include:
- Processing GP referrals and advice and guidance requests accurately and efficiently, ensuring timely communication with external healthcare providers and hospitals.
- Managing patient correspondence and requests received via the practice website and telephone system.
- Handling requests for medical letters, forms, reports, and medical examinations in liaison with GPs.
- Maintaining accurate and up-to-date patient records in line with data protection and confidentiality requirements.
- Supporting clinicians and the wider administrative team to ensure the smooth running of practice operations.

Job responsibilities
Primary Duties & Areas of Responsibility
Clinical Role
To provide general and specific health screening to the practice population, in line with agreed protocols and reference to the General Practitioner, where necessary.
Make professionally autonomous decisions for which they are accountable and provide safe, evidence based patient care.
Be responsible for managing clinics and carrying out associated tasks including the following: Cytology, travel vaccinations, ECGs, peak flow readings, venepuncture, management of long term conditions, routine, travel and childhood immunisations, chaperoning patients who are being examined by another clinician, urine testing, dietary advice, anaphylaxis and CPR.
Make appropriate referrals to other members of the primary, community and secondary care teams.
Deliver specialist primary nurse led service, including chronic disease management (including for all areas of QOF, the requirements of the Universal offer and the standard PCN direct enhanced service).
Administer child and adult immunisations and vaccinations in accordance with national and local programmes. Be competent in anaphylaxis and resuscitation techniques. Ensuring safe storage, rotation and disposals of vaccines and drugs and that adequate stock levels are maintained
Provide support and chaperoning to the doctors for minor surgery, specialist contraception and other procedures.
Promote health and well being, giving general education advice on diet, contraception, smoking chronic disease management, exercise etc
Contribute to the practice achieving its GMS contract obligations including quality, organisational and access targets. Working within the requirements of the CQC.
Maintain accurate records according to NMC rules.
Ensure all data protection requirements are met when gathering, recording and storing patient data.
Liaise and maintain good working relationships with all members of the practice team.
Be flexible and provide clinical cover for sessions in extended hours and contribute towards meeting the extended access requirements.
Teaching & Mentoring Role
Promote a learning environment for patients, nurses and other health professionals.
To mentor nursing associates and Healthcare Assistants
Ensure that health updates, alerts, policies and relevant newsletters are accessed and acted on, where necessary.
