Band 3 Clinical Services Administrator - Warminster and Trowbridge
Avon & Wiltshire Mental Health Partnership NHS Trust View all jobs
Posted 1 month(s) ago
Reference: 342-WTS125-0926
Job summary
We are looking for a highly motivated and enthusiastic administrator to join our friendly team. You will be providing administrative support to the West Wiltshire Community Mental Health Team, both at Shearwater Lodge in Warminster and at Trowbridge Civic Centre in Trowbridge.
Trowbridge Civic Centre is a satellite base for our team, where they hold outpatient appointments. You would be the main admin support and contact person on-site for our team, so you must be confident in working autonomously, though full support will be provided by the Lead Administrator via Microsoft Teams, monthly supervision, and face-to-face contact. Clinical staff will be in and out of the building during the course of the working day.
A key part of this role is to maintain good communication and relationships with the management and staff who own the Trowbridge Civic Centre, so diplomacy and the ability to resolve issues amicably are essential.
We are looking for someone who is well-organised, with strong IT skills and proficient in using all Microsoft Office packages. You will have excellent communication skills, as the role involves some face-to-face contact with service users and their family members.
This role requires you to work across both sites, so access to transport is essential. Your working hours will be 30 hours per week.
Main duties of the job
You will be working as part of a busy administrative team, working across both sites, and will need to be able to prioritise and organise your own workload, as well as share admin workstreams to ensure effective and efficient support to the clinical team.
The role requires you to be able to manage diaries, team and admin inboxes, as well as email management, producing documents, arranging appointments, organising meetings, and taking minutes. You will need to be flexible and reactive to changing priorities while managing your own workload. Some administrative tasks have tight deadlines, so you will need to be able to work well under pressure; personal resilience is essential.
You will possess a high standard of secretarial and administrative skills and have a good working knowledge of all Microsoft Office systems, especially Word and Excel. You will be willing to undertake training in order to use other software packages, including our electronic patient record system (RiO).
The role will involve taking calls from service users, carers, GPs, and other external agencies, as well as liaising with clinical teams and staff, so good communication skills, both written and verbal, are essential.
Please see Job Description for a full list of duties and responsibilities.

Discharge Lounge Scheme
This service is based in the Discharge Lounge at the Northern General Hospital. It provides transport for patients who do not need ambulance transport but require more support than a taxi can provide. We offer wheelchair-accessible transport and, once home, take time to make sure that the patient is settled and has everything they need.
People who may benefit from the schemes are
Older and vulnerable people who may be frail or socially isolated, have no relatives, live alone or with older carers, and other vulnerable adults.
Older and vulnerable people who may be at risk of avoidable readmission.
Individuals or health/social care professionals who have concerns about home situations and a person's ability to live independently.
How the Schemes Work
Professionals from health and social care teams contact the office to arrange assistance for people being discharged from hospital or who are at home and at risk of readmission. Most requests are for short-term practical help and include, but are not limited to:
Collecting a patient from hospital and transporting them home safely.
Basic shopping.
Fitting temporary key safes.
Delivering and fitting small pieces of equipment, e.g. bed levers, commodes, pressure-relieving cushions and chair raisers.
Collecting clothes and other personal items from home and taking them to the ward.
Short-term feeding of pets left at home.
Picking up the patients key to provide access for a contractor, e.g. for repairs, adaptations or environmental health work.
Assistance with moving items of furniture to facilitate a hospital bed delivery, or to enable greater mobility and thus avoid admission to hospital.
Referrer-led home assessments.
Escorting to hospital appointments.
Welcoming the individual home.
Supporting the individual to follow up any problems associated with the hospital discharge process, for example, contacting district nurses or doctors as required.
Signposting to appropriate community activities and services.
Low-level support in essential areas such as food preparation, shopping, prescription and pension collection, light household cleaning and washing.
Advice and guidance on a healthy lifestyle and safety around the home.
Signposting to an appropriate benefits advice service, if required.
Duties and Responsibilities (Dependent on the Scheme)
Work closely with other team members to take referrals from a range of referrers, including health and social care staff, friends and family members and the individual themselves, and carry out those referrals where appropriate.
Complete referrals taken by the team for work described above.
Provide support to those discharged from hospital, or those likely to be readmitted, to help them regain the confidence to continue living independently.
Deliver a flexible, individual-centred service.
Provide support to informal carers.
Be available for enquiries from service users and their families and respond to any requests for information in a timely and professional manner.
Follow up, check and review all referrals with volunteers, service users and service providers in a systematic way.
As appropriate, provide telephone support to service users.
As directed, provide ongoing support and supervision to volunteers within SCCCC and ensure that the service is responsive to their needs.
Ensure that all duties and functions are carried out in accordance with SCCCCs regulations, policies, and procedures.
Maintain appropriate records of work undertaken and produce written reports as required.
Attend the meetings of the organisation and any other meetings as required.
Attend appropriate training courses to enhance and develop their own skills.
